Registration FAQs

Each package offers different experiences that can be customized.
a. The general registration includes All Weekend General Entry, BV Does Fire Entry (4/20 @ DFW Dungeon), Saturday Lunch, and Vending.
b. The VIP Package includes All Weekend General Entry, BV Does Fire Entry (4/20 @ DFW Dungeon), ALL Meals (Dinner, Lunch, High Tea, Brunch), 2 Drink Tickets, 1 T-Shirt, and Vending.
c. Play Party Only – Individual admission to play parties on Friday or Saturday night
d. Vending Only – Access to Vendors Market

VIP tickets offer a royal treatment experience, including access to run-pass, Friday and Saturday play parties, High Tea, formal dinner, lunch round table, Keynote Brunch, 2 drink tickets, and entry to BV Does Fire on April 20th.

a. Play Parties Friday and/or Saturday night.
b. Dinner Friday night, (not required to attend TxPE contest)
c. High Tea Friday at lunch time
d. Brunch Sunday morning, (not required to attend the Keynote)

You will receive a confirmation email to the address used during purchase. Save it to your cell phone for easy check-in at the event.

A copy of your registration information, including the signed waiver, conduct agreement, and cancellation/refund policy, will be emailed to you after completing your registration.

Before the event, we only accept registration via credit or debit card online. At the door, we accept cash payments.

After checking into the hotel, come to the conference center area. Volunteers and signage will guide you to the Registration Table for check-in or ticket purchase.

If you lose your name badge at the conference, go to Registration with a picture ID for a replacement.

Event Run Passes, additional meal tickets, drink tickets, shirts, and raffle tickets are available at the Registration Desk.

Yes, you can register at the event, but the cost at the door is higher, and some items may not be available a la carte.

We accept registration via credit or debit card online. At the door, we also accept cash payments.

You must be 21 or older with a valid photo ID showing your legal name and birth date.

Yes, the confirmation email will include your signed waiver, conduct agreement, cancellation/refund policy, and a group code to book at the hosting hotel.

The basic Run Pass includes access to workshops, contest Friday night, cigar socials, vending hall, Keynote Sunday morning, HoofCon, Saturday lunch, and event run pin.

Yes, single-day passes are available for Friday, Saturday, and Sunday, but a full weekend pass is a better deal.

Hotel accommodation is not included in the Run Pass.

Tickets are non-transferable.

The basic Run Pass includes Saturday lunch. Additional meals can be purchased during registration, and breakfast is included with daily room stay at the hotel.

There are no discounts for groups or military personnel, but early ticket purchases are cheaper, or you can volunteer to save on your ticket.

Hotel FAQs

After purchasing your BV ticket, you will receive an email with hotel registration information. It’s important to book your room early to secure the event discount before the deadline.

Yes, there is a discount on the hotel rooms for Beyond Vanilla attendees. You will receive a link to reserve your room after purchasing your BV ticket. This discount is one of the benefits of attending our event at a well-appointed venue.

  • Suites with King and pullout sofa bed

There are connecting rooms, but you need to book early for that type of accommodation.

Know Before You Go

Children 18 years old and younger stay free when occupying the parent or guardian’s room, using existing bedding. The property has connecting/adjoining rooms, which are subject to availability and can be requested by contacting the property using the number on the booking confirmation. Contactless check-in and contactless check-out are available. This property welcomes guests of all sexual orientations and gender identities (LGBTQ+ friendly).

Check-In Special Instructions

To make arrangements for check-in please contact the property ahead of time using the information on the booking confirmation. If you are planning to arrive after 11:00 PM please contact the property in advance using the information on the booking confirmation. Guests must contact the property in advance for check-in instructions. Front desk staff will greet guests on arrival.

0.98 percent destination fee will be charged.
We have included all charges provided to us by the property.

Pet fee: USD 75 per accommodation, per stay
Service animals are exempt from fees.
Crib (infant bed) fee: USD 8.0 per stay.

Event FAQs

Once you’ve checked into the hotel, head down to the conference center area. Volunteers will be available in the conference center to guide you to the Registration Table for check-in or ticket purchase.

This year we will be using Sched for our event schedule. It is available for download here.

Please visit www.beyondvanilla.org and go to Workshops. All workshop and presenter information will be posted after June 15th. About a week out, we will launch our Sched app so everyone can have the most current up to date schedule and workshop information.

The exact location is provided to registered attendees. However, this year’s Beyond Vanilla will be hosted at a beautiful hotel and conference center in Mesquite, TX from October 24-27.

No, you don’t need to bring any special equipment except for your play bag for the play parties.

Each session varies based on the presenter’s style. Beyond Vanilla will host educational classes, hands-on demos, roundtable discussions, and workshops.

DFW is home to two major airports:

Dallas-Fort Worth International and Dallas Love Field. 

  • Dallas Love Field is closer to the hotel, but services like Uber and Lyft can get you to the hotel from either airport. 
  • You can also post in the Discord and Fetlife Group if you’re looking for a rideshare.

Dress comfortably but be street-legal and vanilla until you’re inside the event space. Don’t scare the Vanilla’s!

We offer a variety of meals for add-ons, such as Mediterranean boxed lunches, champagne chicken dinners, vegetarian options, and more. You can see all the food options when you register.

Beyond Vanilla typically does raise money for charity for our event. The nonprofit we were working with recently closed its doors so there will be no nonprofit for us to support this year.

We appreciate your enthusiasm and willingness to support our event! However, we have partnered with a third party to provide all the necessary play space pieces.

Yes, you can. Check out our website closer to the event to get your vendor-only pass or purchase it at registration during the event with cash.
